Why most Data Rooms slow down when you need them most (and how we fixed it)

Performance feature image

Platform performance in Data Rooms isn’t just about speed – it’s also about scalability. In other words – that you can rely on it to be still fast when the pressure is on. When deal teams are working against tight deadlines with hundreds of users accessing thousands of documents at once, slow performance, apart from being a major, major irritant, becomes a deal blocker.

We’ve spent considerable time studying and solving these challenges at Imprima. Here’s what we’ve learned and how we’ve built our platform to handle the most demanding situations.

The Real-World Performance Challenge

It’s Thursday afternoon, bidding closes Friday at 5 PM. Suddenly, hundreds of users from multiple buyer groups log in simultaneously to review final documents. This isn’t a stress test – it’s the reality for most VDR projects.

Most VDR platforms struggle in these moments. Navigation and Document viewing slows to a crawl, search functionality becomes unreliable, and artificial intelligence (AI) features that work fine with light usage suddenly time out under heavy load.

The root cause? Most platforms were designed for average usage, not peak demand.

Building for Peak Performance

At Imprima, we’ve designed our platform specifically for these high-pressure scenarios. Here’s how:

Smart scaling technology (“scaling out”)

Our platform runs on Microsoft Azure cloud infrastructure and automatically adjusts capacity based on real-time demand. When user activity increases, additional computing power is added automatically. When demand decreases, resources scale down to optimise costs. This happens invisibly – users experience consistent performance regardless of how many people are using the system simultaneously.

Azure Highway

Think of it like a highway that automatically adds lanes during rush hour, then removes them when traffic is light. Same principle, but better than that: usually only one lane can be added on highways, if at all. With Scaling out, it is virtually unlimited.

Optimised data storage and access

We’ve implemented several behind-the-scenes optimisations that deliver sub-second response times even with massive document libraries:

  • Smart database design that combines different storage types for optimal performance
  • Intelligent organisation that groups related information for faster access
  • Efficient connection management that handles hundreds of users accessing files simultaneously

Secure, fast document storage

We use Microsoft Azure Blob Storage for fast document access, with automatic geo-redundant backup. This means your documents are stored efficiently for quick retrieval, while being automatically backed up to multiple geographic locations for maximum security and availability.

Real-time AI

Traditional AI integration creates bottlenecks. Upload a document, wait for processing, then access AI features. This step-by-step approach breaks down under load.

Our in-house AI processes documents in real-time as they upload: Key capabilities include:

  • Automatic document categorisation and clause identification that completes during upload.
  • Ai preprocessing (embedding) during upload enabling instant Advanced semantic search required for both redaction and recognition of legal [entities]: rapid results across large document sets using intelligent content understanding.
  • This allows instant, interactive and automatic redaction as well as extracting key data points from legal documentation.

Continuous monitoring and optimisation

Behind the scenes, comprehensive monitoring systems track performance in real-time:

  • Response time tracking across all platform functions.
  • Predictive resource allocation that maintains optimal performance.
  • Automatic optimisation of data storage and retrieval processes.
  • Proactive monitoring that maintains system health.

Security without slowdowns

Enterprise security requirements often conflict with performance goals. We’ve designed our security features to operate without impacting speed:

  • Role-based access controls that verify permissions instantly.
  • Comprehensive activity logging that captures all user actions without affecting experience.
  • Secure credential management through Microsoft Azure’s security services.

Performance as the foundation

At Imprima, we view performance not as a feature, but as the foundation that enables everything else. When the platform responds instantly and reliably, AI capabilities become truly useful, collaboration becomes effortless, and security becomes invisible.

This performance-first approach has shaped every design decision, from data storage to AI integration and security.

The result

A Data Room platform that maintains consistent performance under any usage condition, enabling deal teams to work at the pace their transactions demand.
