• The company required a secure online repository to store confidential information such as contracts securely and make them available to managers and legal advisors around the world

The challenges

• The scale of the business meant that storing and accessing its contracts was increasingly challenging and it needed a secure online repository to share important corporate information
• Managing a physical corporate data room became inefficient and time-consuming. It took a lot of space to store paper documents, they were taking long time to process and it was difficult to search through them
• Veolia needed a long-term solution from an established provider with a strong local presence and local project management capability. It required large storage capacities and an intuitive index system and search function for fast file retrieval were also essential

The solution

• The result is a document management solution that is safe, cost efficient and easier to manage
• As a web-based solution, Imprima VDR can be accessed by authorised internal and external users from any location, 24/7. All files are totally secure while access is controlled at both user and document level
• Local project managers worked closely with Veolia to understand its needs and get the solution up and running quickly. This included scanning and uploading documents, and tagging them from a range of more than 200 keywords in ten categories, to ensure they were ultimately searchable
• The company can now store its contracts securely and make them available to its managers and legal advisors around the world
